Are you considering investing or planning to set aside time and resources to find your ideal VA? Then, it’s time to discuss what you can do to ensure that your relationship with your newly hired VA is a success.

Building your team with the right people can be time-consuming. It takes a lot of effort and dedication to bring someone into your business. Many are considering the process of hiring and working with VAs. Hopefully, this blog will help you decide and gain new business growth by building your team.

Get your business systematized!

Most relationships with VAs fail simply due to a lack of time investment on the part of the entrepreneur or business owner. Like any good relationship, you need to give what you want to get. Part of ensuring success is by having the right systems in place to build your business and your virtual team.

1. START BY GETTING YOUR SOPS IN PLACE.

SOPs, or Standard Operating Procedures, are essential written instructions for the tasks you hire your VA to complete. Although this step is often overlooked—likely because it seems less compelling—creating SOPs is critical for a smooth delegation process.

To get started, ensure you have an updated set of SOPs for all your business processes and procedures, not just those tasks you pass on to your VA.

Remember, you never know when someone might need to step in unexpectedly or assist in an emergency. Thus, a good starting point is to document the tasks you are handing over to your VA. In time, your VA may even help you write the remaining SOPs, contributing to your overall success with VA.

Make sure you document all the information your VA will need to complete the job effectively, including login details and any templated texts you already use. The easiest way to accomplish this is to perform the task yourself while writing down each step as you go.

Additionally, consider using screenshots and screencasts to enhance your instructions. For instance, you can utilize the ‘new screen recording’ feature in QuickTime Player, which is built into Mac OS X. Alternatively, you can use Jing, from the makers of Camtasia, which allows you to create 5-minute screenshots for free.

By taking these steps, you will streamline the training process for your VA and set the stage for your overall success with VA.

Systems can be sexy when they save you time and grow your team!

2. BUILD A HEALTHY RELATIONSHIP

Take a few minutes to consider how you will build a strong relationship with your VA. You’re her client, but she also works for you. Many of us are used to being solopreneurs and managing everything ourselves, which can make it challenging to delegate tasks to someone else.
